Requirements:  Minimum of high school diploma or equivalent required, CDA preferred. One year experience in administrative support functions required; detail oriented, excellent organizational and multi-tasking skills; ability to adhere to deadlines; must be computer literate with proficiency in MS Office specifically Word, Excel and PowerPoint.  Experience working in a database required. Able to work flexible hours including some evening and weekends. Must have a valid Florida Driver's License or State of Florida Identification card. This is a position of special trust which requires the employee to successfully meet Level 2 background screening requirements. Able to perform in an empowered environment by working collaboratively with other professionals, personnel and direct service providers. Must be familiar and comfortable working with diverse populations.

Responsibilities:

  1. Provide administrative and data entry support to the HIPPY program to include: entering client demographic and service information into database and internal tracking forms, preparing agendas/recording and typing meeting minutes; answering the telephone and responding to inquiries; preparing and drafting correspondence/program documents; filing, maintaining/updating program forms; assisting with preparation of workshop/meeting; completing purchase orders/check requests; maintains schedules/calendars and securing meetings.
  2.  Responsible for ensuring team members sign in/out resource materials, tracks and ensures return of all materials.
  3.  Assist with monthly distribution of HIPPY curriculum materials.
  4.  Create service documentation forms for HIPPY programs.
  5.  Enter program demographics, attendance and assessment data including into required database(s) in an accurate and timely fashion.
  6.  Generate and distribute monthly attendance reports.
  7.  Create flyers, brochures and presentation slides as needed by the HIPPY program.
  8.  Maintain updated HIPPY binders, spreadsheets and records and tracks service documentation.
  9.  Participate in internal compliance and quality audit of charts.
  10.  Serve as a customer service role model to insure a positive relationship in interactions with all employees.
  11.  Assist Coordinator with special projects.
  12.  Perform duties as needed and/or requested to support and maintain accreditation standards and continuous quality improvement of the organization.
  13.  Must be able to be at work on a consistent basis with regular attendance and punctuality, and be willing and able to handle all the duties and responsibilities of this position on a daily basis.

 KEY COMPETENCIES

  1.  Displays proficiency using standard office equipment such as a computer, fax, photocopier, scanner, etc.,
  2.  Strong alpha/numeric data entry skills with high degree of accuracy.
  3.  Attentions to detail, excellent follow through skills, time management and the ability to balance multiple projects.
  4.  Ability to produce professional correspondence which is properly formatted and free of grammatical and spelling errors.
  5.  Ability to problem solve and work independently.
